Privacy policy

We collect the minimum we need to run the service: your company details, billing email, and the usage data required to operate your workspace.

Payments

Card details are collected and stored by Stripe, our payment processor. Minnirva never sees or stores your card number.

Workspace data

Data inside your workspace belongs to your organization and runs on dedicated infrastructure. We access it only to operate the service or when you ask us to.

Email

Unless you opt in below, we send transactional email only: verification codes, activation links, billing notices, and workspace invitations.

Connected accounts

When you connect a Microsoft 365, Google or Zoom account, or an admin connects a phone system for the workspace, we store the sign-in tokens that provider issues, encrypted at rest, together with the connected account's name and email so you can tell which account is linked.

We use a connection only for the features you turn on: for example, reading the email threads you link to a customer record, putting events on your calendar, or creating a Zoom meeting when you book a call. We never sell this data, use it for advertising, or use it to train AI models.

When you disconnect in Minnirva, we delete the stored tokens at once and revoke our access at the provider where the provider supports it. If you remove Minnirva in the provider's own settings instead, the provider stops accepting our tokens; Zoom also notifies us, and we then delete the tokens and the Zoom profile details we kept.

The Scout live demo

When you try the live Scout demo, we collect your email address, a record of your agreement to our terms (which version you accepted, when, and from which IP address), your marketing consent choice, and the searches you run in the demo. Demo search data is kept on the demo system for about 30 days and then deleted.

If — and only if — you ticked the marketing checkbox and haven't become a customer, we may send you occasional product emails, including one recap of what Scout found in your demo searches, sent around the time your demo data is deleted. A summary supporting that recap is kept on our central systems for about 90 days, then deleted. If you didn't opt in, your demo searches are never stored centrally at all.

Every marketing email carries a one-click unsubscribe link — using it withdraws your consent immediately, and we won't email you marketing again. You can also ask us to delete your demo data and lead record entirely at any time using the address below.

Your privacy rights

Depending on where you live, you may have the right to:

  • know what personal information we hold about you, and get a copy of it;
  • have it corrected;
  • have it deleted;
  • receive it in a portable, machine-readable format;
  • withdraw a consent you gave, such as to marketing email, at any time;
  • opt out of the sale or sharing of your personal information. We do not sell it or share it for cross-context behavioral advertising;
  • not be treated differently for using any of these rights.

You can update your profile under Account → Profile settings and disconnect connected accounts yourself under Account → Connections. We confirm it is you before acting, usually by replying to the email address on your account, and we answer within 30 days. You may use an authorized agent; we will ask for proof that they act for you.

Data inside a workspace belongs to the organization that runs it. If you ask about personal information that an organization put into its workspace, we may refer you to that organization and help it answer, as section 7.4 of our terms describes. If you are not satisfied with our answer, you may also complain to your local data-protection authority where one exists.
